Write a Notice for a School, Church, or PTA
Give the tool the facts, the audience, and the length. Delete any name, price, or date it invented before you send the notice.
This is a practical follow-on to the AI course. You are not trying to sound like a press office. You are trying to get parents, members, or neighbours to the right place at the right time.

Who they ask
A role, such as the school office. Not a child's name.
Write the facts first, on paper
Section titled “Write the facts first, on paper”Before you open a chat, write five lines:
- What is happening.
- The date and the start time.
- The place, written the way a visitor would find it.
- What you want the reader to do.
- Who they can ask, by role (“the form teacher”, “the church office”), not by pasting a private number unless you mean to publish it.
If you do not know one of those, the chatbot does not know it either. Leave a blank and fill it yourself.
A prompt you can copy
Section titled “A prompt you can copy”Write a notice of 120 words for parents. Use only the facts below. Do not invent names, prices, or times. Short sentences.
Event: PTA meeting Date: Thursday 8 October 2026 Time: 5:30 p.m. Place: School hall Ask: Come if you can. No reply needed. Contact: the school office
Change the facts. Do not leave my example date in your notice if your meeting is on another day.
Edit in this order
Section titled “Edit in this order”- Check every number against your paper list. Dates are the usual invention.
- Delete any name you did not supply. See what never to paste.
- Read it aloud. Cut any sentence you would not say at the gate.
- Ask for a WhatsApp version of the same facts, under 60 words, and check the numbers again.
A second chatbot is not an editor. Your paper list is the editor. Checking an answer is the same habit, applied to a notice instead of a fact.
What this is for
Section titled “What this is for”Meetings, uniform sales, practice times, and rain plans. It is not for a medical instruction, a fee that has not been agreed, or a message that names a child. Those stay in the system your school or doctor already uses.
